Head of Administration

Job Summary:

Has the mandate of managing administration, procurement, and shipping and logistics sections of the business. He/She is also in charge of people within Operations department, ensuring smooth running operations while providing support to revenue generating functions of the business.
Will report directly to Finance Director and Managing Director

  • In charge of:
    • Vehicles and Transport
    • Clearing and Forwarding
    • Security
    • Administration Procurement
    • Outsourced Staffing
    • Facilities management
  • Vehicle and Transport
    • Manage transport supervisor, their team and drivers and vehicle users
    • Fleet of 110 vehicles including truck/Pickups/Cars/Bikes
    • Responsible for monitoring fuel consumption and vehicle utilization including the tracking of the vehicles
    • Responsible for managing in house and external garages, checking for quality, price and lead time
  • Clearing and Forwarding
    • Manage clearing department of two
    • Company clears 1,000 containers a year
    • Liaise with head office on incoming shipments
    • Liaise with local clearing agents and authorities
  • Security
    • Manage security supervisor and outsourced Security Company.
    • Responsible for checking and implementing controls on premises to prevent misappropriation of stock and assets
    • Responsible for checking and implementing controls for vehicles to prevent misappropriation of stock and assets
  • Administration Procurement
    • Manager admin procurement team of two
    • Emphasis on cost control without sacrificing quality
    • Ensure all suppliers registered and approved
    • Manage contracts for repeat suppliers
    • Ensure pricing of suppliers consistent and review supplier performance periodically
  • Outsourced Staffing
    • Manage outsource staff provider with assistance of HR ensuring remains lean and efficient
    • Liaise with warehouse supervisors for daily/weekly requirements of outsourced staff being:
      • Loaders
      • Pickers
      • Cleaners
      • Gardeners
      • Other tradesman
    • Facilities management
      • Manage facilities team of two
      • Ensure repairs and maintenance of site is to the standards of a multinational
      • Liaise with outsourcing company where any special task is required.


Administrative Manager Requirements:

  • Bachelor’s degree in business administration, management, or related field.
  • Experience in related field, such as management or financial reporting, preferred.
  • Exceptional leadership and time, task, and resource management skills.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Proficiency with computers, especially MS Office.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Familiarity with budget planning and enforcement, human resources, and customer service procedures.
  • Willingness to continue building skills through education opportunities.
